Secretary to the Chamber

The Hailsham & District Chamber of Commerce has been serving and supporting local businesses since 1984. We are a not-for-profit business organisation run by a group of dedicated members who volunteer to serve on the Committee. We have an eclectic mix of skills and expertise, but the one thing that unites us is our passion to make Hailsham & District and the surrounding areas the place to do business in the South East.  We are currently championining the Hailsham BID which will encourage local businesses to work together to help improve the town and district.

Role & Responsibilities:
Reporting to the Chairperson of the Chamber Committee.

Communicating with other members of the Committee, Treasurer, Web Designer and other Chamber members.

This is an important role providing consistent administrative support for the Chamber. The successful individual will often be the first point of contact for enquiries to the Chamber. The individual will cover a wide range of administration and secretarial tasks for the Chamber.

Core duties will include:
Handling customer enquiries via phone, face to face and email.
Preparing monthly newsletters, meeting packs and writing minutes.
Updating the database.
Using the accounts based software for basic bookkeeping (invoices and payments).

Personal specification:
It is essential that the successful candidate is exceptionally IT savvy, able to pick up the Chamber systems and software quickly.
Organised, with a strong can-do attitude and heaps of initiative.
Having worked in administration/secretarial roles previously.
Customer facing, able to communicate with a variety of different stakeholders.
Experience of using an accounting software for basic functions is essential (we use Quickbooks and Stripe, but other experience considered).
Very strong MS office skills (Outlook, Word, Excel, PowerPoint).
Minute-taking experience useful.

Fee: Negotiable

Hours and location:
You are able to choose your own hours, to fit around your family or other employment, but the expectation is that you are able to be contacted and flexible. You will need your own computer.

You will be expected to attend Breakfast Meetings and Committee Meetings, as scheduled by the Chamber.

An initial period of shadowing and handover will be discussed.

This is an urgent requirement, to start as soon as possible.
